Become the pillar of a professional environment listening to customer’s requests and delivering the best customer service experience. You play a key role in the Business Centre from its opening hours to closing time. Bring along your skills and help us create a real professional community.

 

Key Responsibilities

 

RECEPTION AND CLIENT SERVIES

Ensure the reception area to looks professional and clean at all times

Warm and professional welcome of Clients and ensure to respond to their needs
Welcome Visitors with a smile  and invite them to sign in

Ensure a professional welcome and accompany the visitors
Dealing with all client enquiries and taking action in a timely manner
Build and keep a perfect client relationship
Manage incoming calls with a professional introduction
Handling of incoming post and delivering it to the client.
Collecting outgoing post and packages
Record all tasks of franking and sending packages into Client invoicing system
Ordering of lunch
Admin support
Housekeeping: daily check of the floor, kitchen, vending machines, copy point, meeting room, toilets to ensure a clean, professional and welcoming environment
Stock management
Maintenance of standard room set-up

MEETINGROOM

Manage booking, set-up of rooms

Manage catering requests, refreshments, coffee breaks and equipment

Prepare the access to the WIFI connection

Ensure a professional welcome and accompany the visitors

GENERAL CENTER MANAGEMENT TASKS

Responsible for the day to day operations of the health and safety policies at the Centre.

Preparing client move in and move out procedures
Preparation and maintenance of client files

Ensure general filing, update of procedures and invoicing preparation
Involvement in various business and center audits

Assisting with sales enquiries and viewings
Assist Sales team in preparing sales documents and visits
Creation of new phone lines in VOIP system
Handle internet and telephony issues by proactive action and good analysis of the situation
Regular contact with different providers to resolve issues, breakdown, …
Have an eye for development and find always a way to improve the service and a better organization in the Centre
Involvement through Centre meeting

Understand and comply with all relevant company procedures, rules and agreements
Respecting instructions and directions as communicated via email and notice boards

Profil recherché

Excellent proficiency in English, French and Dutch

Excellent presentation (formal dress code)

Able and eager to communicate with clients in a clear and professional way

Must have a real sense of hospitality and be able to manage different client requests at the same time (setting priorities)

Last but not least : must be able to have fun !

 

Nous offrons

Internship for 3 months. Start date october 2015, but can be discussed.
