We wish to appoint an Trainee for Office Administration and Events, working with the Brussels Office staff. This is a full-time position (35 hours a week).

Description: Assist the Brussels Public Policy Team

Duration: 6 months with possibility of extending the contract 1 time

Starting Date: 1 February 2018

Paid traineeship


Main Responsibilities:


Responsible for office logistics, including: ordering of stationery and other equipment, invoice payments, contracts with suppliers, relationship with building owners and with suppliers

Support the Head of Office and staff with diary management (internal and external meetings)

Prepare expense payment forms and make travel arrangements for Brussels’ office staff

Archiving, updating and maintaining files and electronic project databases for the office

Manage the office space, including support the organisation of internal meetings, including setting up the office, prepare material/equipment needed, etc. including video-calls.

Organisation and logistics of all external events in Brussels

Updating the Brussels contact database on a regular basis

Taking minutes at internal meetings of the Brussels public policy team

Proof-reading and formatting documents and powerpoint slides for internal and external distribution

Profil recherché

The ideal candidate would


Hold a relevant degree

Be fluent in English (verbally with excellent writing skills), and French or Dutch.

Be digitally savvy and have excellent command of Microsoft Office programs, in particular Powerpoint

Be a team player who can work proactively and independently.

Strong motivational skills/ability to work in a small team, independence and strong attention to detail

Be open to the challenge of working in an international telecoms and media company
