Join our team as an Office Management Assistant intern! You'll be at the heart of our office, responsible for organizing and coordinating administrative duties and office procedures. Your mission? To craft and maintain a pleasant work environment, ensuring high levels of organisational effectiveness of the office. Ready to dive into a dynamic role that offers both challenge and opportunity?

Curious about the role of an Office Manager Assistant? Picture yourself as the orchestrator of office efficiency! Your tasks would involve everything from scheduling meetings and organizing appointments to managing office supplies and coordinating restaurant reservations. You'll be the welcoming face greeting visitors and offering crucial administrative support to our team. Proficiency in various office software and be able to accurately handle administrative duties is essential, ensuring seamless handling of administrative duties.

Starting from Mai onwards would be the perfect timing for us.

Who are we looking for?

  • You’re nearing completion of a degree in Office Management or a related field
  • You need an internship for 3 months or longer
  • Proficiency in French and English (oral and written) is a must, Dutch is a plus
  • You provide excellent communication and people skills
  • You have knowledge of customer service and office management
  • You have knowledge of MS Office, particularly PowerPoint and Word
  • Good organizational and multitasking abilities and problem-solving skills

Your Responsibilities

  • Schedule meetings and appointments efficiently.
  • Oversee office layout and manage orders for supplies and equipment.
  • Ensure the office space is well-maintained and arrange for necessary repairs.
  • Work with HR to keep office policies up to date.
  • Streamline office operations and processes.
  • Collaborate with IT to ensure office equipment functions smoothly.
  • Track invoices and ensure timely payments.
  • Manage the office budget and provide accurate reports.
  • Greet visitors and offer assistance as needed.
  • Support the onboarding process for new employees.
  • Address employee queries related to office management (stationery, hardware, travel, etc.).
  • Coordinate with facility management vendors (cleaning, catering, security services).
  • Organize in-house and off-site events, from team celebrations to conferences.
